Undergraduate Elective Requests: Guidance Notes
Application Procedure
Capacity for elective students over and above the Trust's commitment to train medical students, physician associates, advanced nurse practitioners, paramedics and allied health professionals is challenging. The Medical Education Department will, wherever possible, support elective requests from medical students or mature students considering a career in medicine. Requests are processed by the Medical Undergraduate Office, to allow an overview of capacity within the Trust, ensure educational quality for all students on placement is maintained and for the necessary pre-attachment checks to take place.

Please Note: Any applications agreed by individual clinicians without prior discussion and agreement with the Medical Undergraduate Office will not be supported/processed within the Education Department. If the individual Clinician still wishes to support the student’s attachment, they will be accountable for ensuring all the necessary checks are undertaken.

A Level students considering a career in medicine can apply for the Sixth Form 'So you want to be a doctor' programme run by the Education Centre. Individual requests for work experience from school age students will not be supported by the Education Department.
Clinical Attachment requests from qualified doctors are dealt with by the Medical Education Manager.

The application procedure is as follows (view application flow-chart):
- Student submits an Application Form to the Medical Undergraduate Office to request attachment, giving dates of proposed attachment and specialty/specialities he/she is interested in. All applications must be made at least 3 months before the requested start date. Approaches to individual Departments/Clinicians should be forwarded to the Undergraduate Office.
- If the Undergraduate Office considers there to be capacity to accommodate the student at the time requested, an email will be sent to the appropriate clinician(s) to ask if they can accommodate & supervise the student.
- Supervision:
* If supervision is not available for the time requested, the student is notified accordingly;
* If a supervisor is available, the student is given a conditional offer of attachment and asked to pay a £100 administration fee. Once paid, Medical Workforce are informed and begin to process the necessary checks: occupational health, DBS, visa (if necessary) and ID. - If not already provided, the student is asked to send/confirm the following:
* a curriculum vitae (preferably with passport sized photo)
* a letter from their University to confirm that they are studying there and at what stage of the curriculum they are
* whether they require hospital accommodation (If the student requires hospital accommodation, the student will be given the Accommodation Officer’s contact details and asked to communicate directly with her to arrange this). - Once all the checks are completed, Medical Workforce advise the Undergraduate Office accordingly and they then liaise with the supervising consultant, agree reporting instructions and confirm arrangements with the student (sending a map/directions to the Trust).
- The Undergraduate Office will arrange and undertake the Hospital Induction, provide the student with a security access cards/car parking pass if applicable, show them the student facilities and give them a tour of the hospital.
- Timetabling – due to the flexible nature of these attachments, we would not normally arrange a timetable. If this is required it would normally be arranged within the Department.
